Digital Measures Publications
There are several methods that can be used to add information to the Publications screen. The screen can be populated manually or by importing data. The recommended method is to import publications since it will save time in getting you information added to your Digital Measures profile.
To access the Publications screen, click its name from the Scholarship/Research section on the “Manage Activities” page. The summary Publications screen displays records that are stored.
Import Publications
Faculty can import publications from various web databases supported by Digital Measures by clicking on the Import icon at the top of the Publications Summary screen.
Publications Resources:
Author Reordering
The Publications, Other Funded Projects, Exhibits and Performances and Presentations screens by default sets the faculty member who enters the citation as 1st Contributor. To edit the order of authors you may use the ‘move’ up and ‘move’ down arrows located at the right of each author entry section of the screen.
Important Note: Only the owner of the record can reorder contributors on an entry. If the data has been imported from another system you will not be able to adjust the order of contributors.
Author Deletion
To remove a contributor from an entry, select the garbage bin located at the far right by each author entry.
Important Note: Only the owner of the record can delete contributors from an entry. If the data has been imported from another system you will not be able to delete contributors.
Importing records from Third Party; PubMed, Crossref, or Web of Science
Step 1: Selecting the Import tool
Click on the Publications screen. Here you will find the Import button, select this button
Once on the “Import Publications” screen, on the left you will see Import from Third Party, you can then choose between Web of Science, Crossref, or PubMed.
You can add additional search criteria by choosing Add search criteria located under the bottom dropdown box. You can delete search criteria by clicking on the trash can on the right side of the field.
Note: The additional search criteria you enter will be combined with the “and” logic. For example, entering the criteria above will focus the results from Web of Science, Author Name of Gampe, Nicole “AND” a Publication year of 2012 to 2017. Once you have selected your search criteria click on the Search Web of Science, Crossref or PubMed button.
Step 2: Select Items to Import
Activity Insight will then return the citations found in the Web of Science, Crossref or PubMed that match the search criteria you entered. To select the publications to import, choose the check box on the right side of the individual item.
If you want to review the record prior to importing, you can click on the blue link. After you have selected all the records you want to import click on “Continue >” located at the top of the screen. If too many publications were returned or the publication you expected to find does not appear, you can hone your search right from this screen. Select the “modify your search” link, update your criteria and select the Search button.
Step 3: Handle Duplicates
Activity Insight uses advanced duplicate detection logic to check the publications to see if any might already be in the system. You do not want duplicates! The publications that might be duplicates are presented to you for review.
For each of the potential duplicate records, you must now pick “Skip” or “Import”. If there are multiple records, use the arrows at the top of the display to navigate through the potential duplicates. Once you process your duplicate records, click the “Continue” button at the top of the page.
Step 4: Author Review
Identify the Author names from the import file to the user accounts in Activity Insight (AI).
NOTE: In order to proceed, you must resolve all of the names that are from Possibility 1, where a name matched multiple users.
Possibility 1: It matched multiple names in AI.
Upon selecting the Select correct user account link above you will see “Select correct user account for ‘Last Name, First Initial'”
If one of the Authors matches what is listed in the results, click that person’s name and proceed to check the next Author.
If the Authors DO NOT match what is listed in the results, click on the view all user accounts link. A new window will pop up where you will have the ability to select No Matching Account.
Possibility 2: It matched just one name in AI.
If the name matches to an account in AI and that name is not the correct Author, click on Select a different user account.
A new window will pop up where you will have the ability to select No Matching Account.
Possibility 3: It matched no names in AI.
If this is the case, you can SKIP these authors and they will enter as listed.
Step 5: Review and Finish
The final step enables you to flip through the records that you are about to import into your Publications screen. Look them over to ensure everything looks good. Use the forward and reverse arrows at the bottom to move through the records. When you are satisfied, that everything looks good, select “Finish Import”.
Activity Insight presents one last step, a confirmation box to ensure you wish to proceed, press “Import Records” to continue.
When import is successful you will be taken back to the Publications screen and see in green at the top of your screen Import successful!
